What we collect and why
We collect the contact details, broad location, services, languages, qualifications, professional experience, availability and optional CV or notes that you provide. We use these to assess your application, communicate with you and, if approved, establish an appropriate freelance relationship. Required fields help us assess and respond to your application; without them we may not be able to proceed.
Please do not submit identity documents, bank details, medical information, criminal-record information or confidential client material here. We will explain any later checks and the applicable privacy information separately.
Our lawful bases
We use information to take steps at your request before entering a contract and for our legitimate interests in managing applications, assessing relevant professional competence and maintaining a suitable freelance network. You can object where we rely on legitimate interests. The acknowledgement on the form records that you received this notice; it is not consent to unrelated marketing.
Who can access it
Authorised CCCS Ltd personnel assess applications. Our hosting provider, Hostinger, processes the information to operate this form and store applications, under the relevant service and data-processing arrangements. Necessary information may also be shared with professional advisers or authorities where there is a lawful reason. We do not publish applications or use automated decision-making to approve or reject applicants.
Hosting and international processing
CCCS Ltd uses Hostinger as its hosting provider and data processor for this registration form, including the private storage of applications and CVs. The hosting server is located in Europe (United Kingdom), and backups are stored in Germany. Hostinger’s Data Processing Addendum and privacy terms govern its processing, subprocessors and international access. Any restricted transfers are handled using the safeguards stated in Hostinger’s current DPA. Access to applications is limited to authorised CCCS Ltd personnel, and applications are retained and deleted in accordance with the privacy notice.
How long we keep it
Our usual retention period for an unsuccessful or withdrawn application is six months after the decision or withdrawal, unless a specific legal obligation or documented legal claim requires longer retention. If approved, relevant details become part of your freelance record and we provide the privacy information applicable to that relationship. We do not automatically keep unsuccessful applicants in a future-opportunities pool.
A short-lived session cookie supports form security and, for staff, login. Abuse-prevention records use a keyed representation of an IP address and expire within one hour. Hosting infrastructure may also create technical and security logs subject to its applicable arrangements.
Your rights
Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your information, or object to processing. Contact CCCS Ltd using the address above. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
